You set each employee's role and branches. You write the text, the language and the channel of every message a customer gets, and what went out, and what did not, stays in a log.

Who may do what, and what is sent, depends on people and habit.

  • Everyone sees the same things

    A front-desk employee can open the settings and invoice screens too, or has to ask the owner about every detail. Keeping branches apart becomes a rule somebody tracks by hand.

  • It is not clear what the customer got

    Did the confirmation go out, in which language, down which channel? When the customer asks on the phone the answer is a guess, and nobody knows why a message was not sent.

  • Fixing one sentence becomes a job

    Changing a message's text or opening a new language means writing to a developer, and in the meantime the customer gets an old text or one in the wrong language.

HOW IT WORKS

Team, branches and customer messages in four steps.

You decide first who may do what, then when the customer is written to.

  1. Team and roles

    The Users screen gathers the employees, their roles and the branches they work in one list. The Owner, Manager and Staff roles are ready on every plan. An invitation uses a seat when you send it; you can withdraw a pending one, edit a person's role and branches from the row's menu, or remove the person from the team.

  2. A role, module by module

    On the Roles screen each module has two boxes: View and Manage. Ticking Manage locks View on. Team, settings, billing and the audit trail cannot be delegated; they are drawn locked, with the reason. Custom roles are on Premium and above; you can copy from Manager and adjust.

  3. Limit staff to a branch

    Choose branches for a user with the Staff role and the person sees only those; leave the list empty and they see every branch. The limit is on every plan. A branch has its own hours, locations and, if you want, its own vehicle catalogue; the detail is on the Fleet management page.

  4. When the customer is written to

    When staff act on a booking, say approving it, a box appears: Notify the customer. One box runs e-mail and text message together and starts unticked every time; if you do not tick it nothing goes to the customer. When the customer acts, that is, pays on the site or cancels, the notification goes on its own.

Every message this installation sent is listed with to whom, down which channel, when and what became of it. Filter by message, channel, status, date range and booking code; pages are numbered. A message that was not sent says why, in a sentence; its text is on the booking's Notifications tab.

Owners and managers read who did what, when and to which record, as a sentence: a booking whose status changed, an invitation sent, a membership edited, a notification text saved. Filter by event, search, date range and record kind; the same rows become a file with Download CSV.

Each booking has a Notifications tab listing the messages that went to it. You can open the text that was sent, and make a message that was not sent again from the row's menu with Send it again; the message is written with today's template.

The Minata Panel iOS app alerts staff to a new or cancelled reservation, a payment received, an upcoming pickup or return, a contact-form message and a new fleet enquiry. Tapping opens the record.

Branches

The branch list shows each branch's place, contact, the locations it serves and its publish status. The Catalogue column shows whether a branch uses the shared catalogue or its own, and how many models its own holds.

Which roles are there, and can I create my own?
The Owner, Manager and Staff roles are ready on every plan and cannot be changed. Custom roles are on Premium and above: on the Roles screen you give one a name and tick View and Manage for each module. A custom role is always a Staff seat; team, settings, billing and the audit trail cannot be delegated.
Can I keep an employee to one branch?
Yes. You choose the branches of a user with the Staff role and the person sees only those; leave the list empty and they see every branch. The branch limit is on every plan and is for the Staff role.
When is a message sent to the customer?
When staff tick the Notify the customer box while acting on a booking. The box starts unticked every time it opens and one box covers e-mail and text message together. When the customer acts, that is, pays on the site or cancels, the message goes on its own. If customer notifications are switched off on a booking the box is drawn shut and says why.
Which plan do e-mail and SMS need?
E-mail notifications are on every plan. SMS is on Standard and above, sent through Netgsm. In the template editor a counter shows how many messages a text will take as you type; a Turkish letter drops the limit of one message from 160 to 70 characters and the panel says so.
What happens to the templates if I add a language?
The platform's message texts are ready in nine languages. When you add a language to the panel the templates are ready in it too; until you write your own words the platform's text is used. In the editor you open a language tab with Add a language and replace the text with your own sentences.
Where is the staff app, and how does it send alerts?
Minata Panel is the panel's iPhone and iPad app (iOS 16 and later), included in every plan. It is not yet open for public download and has no download link; it will be announced on this page once it is. Staff alerts live in this app and reach only a person who may see the screen the alert opens.
