REPORTS

See which car earned what without waiting for month end.

The reservation report is filtered by date range, branch and status and grouped by model or plate. The income and expenses table reads period by period or car by car. The figures come from the panel's own records.

AT THE DESK TODAY

The figures sit in spreadsheets and the total is built by hand every month.

  • A car's return waits for month end

To know how many days a model was out and what it earned you have to export the booking list into a sheet and add it up.

  • Costs are in another book

When servicing, damage repair and insurance premiums are kept apart from income, a period's net result does not show without some effort.

  • Records from the old system skew the figures

If you moved past bookings into the panel, seeing only what happened in this panel means picking the totals apart by hand.

HOW IT WORKS

A report in four steps.

You narrow the question with filters first, then read the totals and the groups.

  1. Narrow the question

Choose which date field to look at (collection, return or created), the range, the branch and one or more statuses; search by booking code, contract number or customer name. The filters stay put across the three tabs.

  2. Read the totals

Reservations, days, total, collected and balance sit in a strip of their own for each currency. The totals are worked out over the loaded rows; if the row limit is hit, the panel says so.

  3. Group by model or plate

The model report opens a line for each model and the plate report one for each plate: reservations, days and total on the header, the rows beneath it once opened. Bookings with no plate yet are gathered in a group of their own.

  4. Read income and expenses side by side

The income and expenses table shows what a period earned and spent: booking revenue, collected, servicing, damage repair, fines written off, premiums and net. Each currency has its own table with a total on the last row.

DETAILS

The small things around the reports.

In the panel: Dashboard

The day's figures on the panel's first page

Pick-ups today, returns today, rentals in progress, fleet in use, taken this month and paperwork due sit in six tiles when the panel opens, each opening its own list. The switch above leaves past bookings out.

In the panel: Reports, Reservation report

Download the report as CSV

The reservation report downloads as a CSV with the filters on screen. The three views share one tab strip, and switching keeps the window and filters as they are.

In the panel: Reports, Income / Expenses

Ready-made ranges

In the income and expenses table, this month, last month, last 3 months and this year are one press each. You switch to the period or vehicle fold from the tabs.

In the panel: Reports, Reservation report

An empty result is said out loud

If the range has no reservations the panel says so and suggests widening it; on a report that hit the row limit it notes that the first records are shown.

QUESTIONS

About reports.

If the answer is not here, write to the sales team.

Write to sales
Which reports are there?
The reservation report (reservations, with model and plate views) and the Income / Expenses table. The strip of figures on the panel's first page comes on top of those.
Can I take a report away as a file?
The reservation report downloads as CSV. No Excel file is produced; you can open the CSV in Excel. The income and expenses table is read on screen and is not downloaded as a file.
What else can I download as CSV?
The list of redirect rules, the activity log and the newsletter subscriber list also download from the panel as CSV.
Do records I moved from an old system count in the figures?
Yes, on their own dates. When you want to see only what was done in this panel, turn on Exclude past bookings; the switch is on the report, on the income and expenses table and on the panel's figure strip.
What are the totals the total of?
Of the rows that were loaded. If a report hits its row limit the panel says so and notes that the totals cover only the records shown; narrowing the filters brings every record in.

Shall we look at the reports with your own bookings?

Ask for a demo; we will open a month's reservation report and its income and expenses table together.
