PRICING, SEASONS AND CAMPAIGNS

Write the season calendar once and every quote gives the same price.

Seasons, length bands and each model's price card sit in one place in the panel. Campaigns, coupons and extra fees go on top of that price; the screen adds nothing up on a quote, the pricing engine does.

AT THE DESK TODAY

The price is in a spreadsheet, the campaign in a message, the rate in another tab.

  • The season difference is in somebody's head

The July price, the April price, new year's week... When which date costs what lives in a spreadsheet, on a phone and in somebody's memory, two people quote two prices for the same rental.

  • Nobody can say who a campaign is for

Is the discount for every car, or only for economy cars picked up in Orlando? A campaign whose target is not written down means something different to everyone at the desk.

  • Extra fees are worked out by hand

A one-way fee, a young driver fee and a price quoted in another currency, added by hand each time, means one gets left out, and the gap shows up after the rental is over.

HOW IT WORKS

A price card in four steps.

The calendar first, then the bands, then the model's prices, and the discounts last.

  1. Write the seasons

A season is a set of day ranges in the year. You pick a month and a day, never a year, so the season repeats every year on its own. A winter that wraps the year is two ranges. Days no season names fall to the “Default” season. You can also give a season a minimum number of rental days.

  2. Set the length bands

One ladder says which band a daily price is read from, by how long the rental is, and it is the same for the whole site. You type only the day each band ends on; where it starts comes from the band above, and the last one is open ended.

  3. Fill in the model's price card

Prices are entered on the car's own screen: seasons down the side, length bands across. “Fill the row” writes the same daily price into every band of a season, and you can take prices from another model or copy them to others. A cell left empty shows up as a warning on the screen.

  4. Attach campaigns and coupons

A campaign can be a discount or a surcharge; you type a percentage or an amount, set a window by travel dates and by booking dates, and it applies to the rental, the extras or the total. Coupons work with the same targeting. Campaigns and coupons come with the Standard plan and above.

DETAILS

The rules that sit on top of the price.

In the panel: Pricing, Campaigns, Add campaign

A campaign is aimed by car and by place

The vehicle target can be all, selected classes or selected models; the place target is all, or the pick-up cities. The two apply together: choose Economy and a city and the campaign covers economy cars picked up in that city.

In the panel: Pricing, Payment-method discounts

A discount for the payment method

Give a percentage off to the customer who pays by bank transfer (EFT) or online: tick the method, type the percentage. Saving makes the list the whole set; an unticked method loses its discount.

In the panel: Settings, Young driver fee

Young driver fee

You write a fee by age band: per day or per rental. A per-day fee can have a cap. Campaigns, coupons and member discounts never touch it. It comes with the Premium plan and above.

In the panel: Pricing, One-way fees

One-way fees in a table

Pick-up cities down the side, drop-off cities across, and every amount written in one table; “Save both directions” writes the opposite direction with the same amount. It works between cities or between the points of one city. The most specific single rule applies to each drive.

In the panel: Pricing, Occupancy-based pricing

Occupancy-based pricing, a Platinum option

It comes with the Platinum plan and has a switch of its own; it is not on by default. You write bands that raise or lower the daily rate by a percentage, by occupancy or by days until pick-up, and you set the largest rise and the largest cut yourself. While it is off the rules stay put and no quote is touched. Campaigns apply on top of the adjusted price.

In the panel: Settings, Currencies, Live rates

Live central bank rates

If you sell in more than one currency, the central bank's bulletin shows in the panel: the raw rate, your markup and the rate you charge, side by side. The markup applies only to currencies you have enabled, and you can pin a rate if you prefer.

About pricing.

Write to sales
Do I have to write the seasons again every year?
No. A season is written as a month and a day with no year, so it repeats every year on its own. A holiday whose week moves from year to year has a screen of its own: Minimum rental rules. A quote and the availability answer apply the largest of the minimums the rental touches.
What does the customer see when a rental falls in two seasons?
On the surfaces the customer sees, the rental is one line; when it spans several seasons the amount is marked as an “average”. The line-by-line breakdown opens only for staff, as a collapsed detail.
What is the difference between a campaign and a coupon?
A campaign is defined by its date window and its target. A coupon works with a code typed while booking. Both are targeted by Vehicle and Place, and both come with the Standard plan and above.
Can I write an hourly rental price?
On the Platinum plan the model's prices tab gains an “Hourly” column: an hourly price per season, minimum and maximum hours, and kilometres included per hour. In a season whose hourly price is left empty the car is priced by the day only.
How do loyalty points affect the price?
The loyalty programme comes with the Premium plan and above. A customer's earned points can be used in the booking wizard; you set the points up under Settings, Loyalty points.
Can I quote in more than one currency?
Yes. You choose the currencies you sell in; the rate comes from the central bank's bulletin. You add your own markup on top, or pin a rate for one currency.
