ONLINE PAYMENT AND BANK PAYMENTS

The money lands in your own account and every payment stays a receipt.

You connect iyzico, PayTR or Stripe with your own keys; for bank payments you write down your accounts and record the receipt yourself once you see the money. What is taken at the desk and what comes in through a link are collected in the same Payments tab, in the same balance.

The money is in a notebook, the receipt in a folder, the link in a message.

  • Nobody can say how much of a booking is paid

    With cash in a notebook, bank payments on a statement and card payments on a provider's screen, saying how much of one booking is paid means looking in three places.

  • Fixing a mistake erases the trail

    When a wrong amount is deleted and typed again, who changed what and when is lost; the notebook and the statement stop agreeing and nobody remembers why.

  • The customer wants to pay and there is no page to give them

    When the customer says “I'll pay now” on the phone and there is no link to give them, taking the money waits for the next call.

HOW IT WORKS

Taking payment in four steps.

First you say where the money goes, then you take it.

  1. Connect your provider with your own keys

    For iyzico you enter an API key and secret; for PayTR a merchant id, an API key and a secret. Keys can never be read back once saved. While test mode is on no real money is taken, and a strip on the screen says so. Payment links are published under your site's primary address.

  2. Write down your bank accounts for bank payments

    You write the bank, IBAN, account holder and currency; the IBAN is checked before it is saved. A customer who chooses to pay by bank sees these accounts. A bank payment has no provider: you write the receipt yourself once you see the money in your account.

  3. Send the customer a payment link

    From the booking you create a link for the outstanding balance or for an amount you type; it cannot exceed what is outstanding. The link can be e-mailed to the customer, or if that is off you copy it and pass it on. Every attempt stays in the list, and a paid one is tied to its receipt.

  4. Record what is taken at the desk as a receipt

    Collect takes the amount, method, date, slip number and note. Type less than the outstanding balance and it is a partial payment; the balance works itself out. Money taken is never deleted; if it needs undoing it is voided or corrected.

A refund is for whoever holds the permission

The Refund button shows only for a user who holds the refund permission, which is a separate one from collecting. A refund receipt is tied to the receipt it came out of and is never deleted. When a booking has an amount owed back, the balance strip says “Owed back”.

In the panel: Reservation, Payments, Void

A receipt is voided, not deleted

Void shows the receipt as voided with its reason; its amount and date stay. Voiding only moves the balance back and never changes the booking's status.

Pay on collection, if you want it

You can switch on “pay on collection” on the website; the customer pays when they collect the car, and these bookings wait until the office confirms or refuses them. It is off by default.

A wrong amount is fixed in one step

Correct voids the old receipt with its reason and writes the new one in its place; both stay in the history and are linked. No e-mail goes to the customer and no second invoice is issued. If only the slip number or the note is wrong, Edit is enough. An online payment is not corrected from this screen.

The drawer: the day's money, method by method

The Drawer shows everything taken on one day, by currency and by method: cash, bank, terminal, other and online card. The list under it filters by booking code, day, method and branch.

In the panel: Reservation, Add a charge

A charge that comes up at hand-over

Add something handed over at the car to the booking: an extra from the catalogue, or a custom item. A custom item's amount is written with VAT included, and you keep the booking's VAT rate or choose another. You can collect in the same step, and it can be added to a completed booking too.

Which payment providers does it work with?
iyzico, PayTR and Stripe. You connect whichever you like with your own keys, and the money lands in your own provider account. Bank (EFT) payments have no provider; you write your bank accounts separately.
Who confirms a bank payment?
You do. Once you see the money in your account you write its receipt with Collect and the balance drops. A receipt that is written is never deleted; if it is wrong it is voided or corrected.
Does a payment link expire?
Yes. When a link is created the time left is shown, and an attempt that has run out stays in the list as “Expired”. Creating a new link invalidates the previous one.
How does an overpayment or a debt show?
When a booking is overpaid, the balance strip says “Owed back”. A customer's account shows on the Customers screen with the words “Owes” or “Credit balance”.
Can everybody issue a refund?
No. The Refund button shows only for a user who holds the refund permission, which is a separate permission from collecting.
How do I switch on pay on collection?
On the Payment providers screen under Settings, with the “Pay on collection on the website” switch. It is off by default; while it is on, these bookings wait until the office confirms or refuses them.
