Every customer's history, balance and risk on one card.

The customer list holds the people and companies you rent to, fifty to a page; search by name, e-mail, telephone or T.C. number and filter by kind and status. On each customer's card the bookings, the statement, the points and the blacklist record sit together, and the balance is read in each currency on its own.

To understand one customer you open four places.

  • The balance is in one book and the bookings in another

    To find out what a customer owes you open the booking list, the receipts book and the invoices side by side and add them up by hand; with two currencies it takes longer.

  • A risky customer shows up at hand-over

    Someone who does not pay or brings a car back damaged is only remembered by the note in your own book; there is no way to learn beforehand what another company went through.

  • The customer rings the office for everything

    A customer who wants to see a booking's status, a payment or an invoice telephones, and to answer you open the same records yourself.

HOW IT WORKS

The card answers four questions.

What do they owe, can they be trusted, how much do they come back, and what can they do by themselves.

  1. The account: debit, credit and balance

    The statement gathers a customer's rental charges, receipts, refunds, invoices and corrections in one list, newest first. Each currency reads as Debit, Credit and a balance on a strip of its own, and the panel says the balance in one of three sentences: "The customer owes money.", "The customer is in credit." or "The account is settled." The table shows one currency, narrows by date range, and the running balance at the end of each row is where the account stood at that moment.

  2. A risky customer: the shared blacklist

    Reporting a customer who did not pay, damaged a car or committed fraud to the blacklist is open to every plan; you write the reason, a note only you will see and, if you like, an expiry date. A report needs the customer's identity document and number on file. Asking the pool about reports from other companies is on Premium and above: the pool answers with only the reason, and the reporting company, the name and the note are never shared. It sits at the head of the card as a warning and does not block a reservation; the decision is yours.

  3. A loyal customer: points

    Every completed rental writes points to the customer, who spends them as a discount on the next booking; a cancelled rental earns none. The Points tab shows the balance, what it is worth, the points about to lapse and every earn, spend, correction and lapse in a ledger; staff can add or remove points by hand and the reason is written beside the row. The loyalty programme is on Premium and above.

  4. The customer portal: my account, on your own site

    Your customer registers on your site, signs in, confirms an e-mail address and resets a password. In their account they see their bookings, payments, fines and points; they download their invoices and the agreement as PDFs; they keep their profile and password up to date. Before cancelling a booking they see a preview of the cancellation fee and the refund. For a booking the portal offers viewing and cancelling; for anything else the customer calls your office. The card has eleven tabs

Customer details, identity and licence, address, blacklist, bookings, statement, points, fines, consents, data erasure and activity. The bookings tab lists a customer's rentals by code, dates, car, status and amount. A tab the plan or the right does not allow is not drawn greyed out; it is not drawn.

Survey: five questions after the return

Days after the return the customer is sent a five-question survey: vehicle, cleanliness, staff, handover and price / value. The panel shows the average, the last 7 and 30 days and each question.

A booking count on the reservation row

In the reservation list, beside a customer's name, sits that customer's count of valid bookings, this one included. The tooltip says separately how many were cancelled or no-shows, and a click narrows the list to that customer's bookings. A customer with no valid booking gets no badge.

One required field to open a record

On a new customer the one required field is the name: a surname for a person, a company name for a company. E-mail is optional, so a customer who comes by telephone is saved at once.

Reviews are read before they go live

Reviews are sorted into Waiting, Approved, Rejected and Hidden, and each shows where it came from: a survey, the site, or typed in by hand. You approve, reject, hide and reply; an approved review appears on the vehicle's page and in its rating strip.

A warning for a duplicate record

If an identity or licence number is already on a record, the panel shows them. “Open the record” goes there; “Open a new record anyway” splits the account and history in two, so it asks once more.

Can a blacklisted customer still make a reservation?
Yes. The blacklist is a warning; it does not block a reservation. The warning shows on the customer's card and the decision is yours.
Will I see a note another company wrote?
No. The pool answers with the reason only (Non-payment, Damage, Fraud, Contract breach or Other) and how many reports there are; the reporting company, the name and the note are never shared. The note you write on your own report stays with you.
Which features are Premium and above?
Reporting to the blacklist is open to every plan; asking the pool, loyalty points, surveys, reviews and the customer portal are on Premium and above. Plan prices are on the pricing page.
What can a customer do in the portal?
See their bookings, payments, fines and points; download their invoices and agreement as PDFs; keep their profile and password up to date; and see a cancellation preview before cancelling a booking. Anything else goes through your office.
In which currency is a customer's balance?
In each currency separately. A customer who has paid in euros and in dollars has two balances and the panel does not add them; the statement table shows one currency and the strips show them all.
How are points earned and spent?
They are written once, when the rental is completed. What a point is worth, the smallest balance that can be spent, the most of one rental points can pay and how long points last are set in the loyalty settings. The rest of the price is still collected.
